For an Ascot hotel or guesthouse, send the property name, full address and postcode. Ask where arrivals should report and whether reception is at the entrance you expect to use. If your host gives separate directions for a lodge, annex or private rental, share those details rather than using the main property name alone.

If your flight arrival and room access do not line up, ask the property how it handles early or late arrivals and luggage. Pass any agreed instructions to the booking team. Check the collection arrangements against the instructions for your actual departure point. An event entrance used earlier in the stay should not automatically become the return meeting point. Agree the return time separately, allowing for the road journey and the arrival guidance from your airline.
